Patient Demographic Entry

Our medical billing specialists enter patient demographic details such as name, date of birth, address, insurance details, medical history, guarantor etc as provided by the patients at the time of the visit.

For established patients, we validate these details and make necessary changes, if any, to the patient records on our practice management system.

If any details are missing or are invalid then our billing specialists get the correct details by calling the practice or the patient directly.

Claims are submitted electronically via our practice management system and gateways.

Paper Claims are printed here in appropriate Healthcare forms and are sent via mail to the Insurance.

Before the submission, a thorough quality check is done by a senior billing specialists. The rejection report received from clearing house, if any, is analyzed and they make necessary changes.

These claims are then resubmitted at the same time to prevent the claim from reaching any filing limit.

Scanned EOBs and check stubs are sent to our team. All payments are entered into the system.

The amounts from EOBs/checks and amounts posted in the system are reconciled on daily basis.

A daily log is updated with the summary of collections.

The Analyst Team performs a Quality Check to ensure that payments are correctly posted in respective accounts.

We also create another log for denials on EOBs on a daily basis through payment posting. Once this log is completed, its forwarded to our Account Receivables Management Team.

All claims in the system are examined and priorities are set.

First the claims close to their filling limits are handled, and then work down from the age of the claim. Periodic follow-ups over phone, email and web is done to get the status of each claim submitted to the insurance companies.

We analyze the data first and on this basis we generate a daily work log.

Rebilling of claims to primary, secondary and tertiary are carried out in regular intervals.

Appeals are sent immediately to ensure cleaner claims to insurance company, if requested.

Our team also handles logs sent by the payment posting department to resolve those queries and to reduce the chance of the claim reaching beyond a filing limit.

Analysis of denials and partial payments is done by our Senior Medical Billing specialists.

Payors, patients, providers, facilities and any other participants are called to follow-up on denied, underpaid, pending and any other improperly processed claims and the action is documented into our system.

If authorized we will call the patient to obtain information needed for billing such as ID# and to update the COB (Coordination of benefits) with their insurance companies.

Secondary paper claims are processed and sent to the client office for submission.
